Privacy Policy

Community Chaplain Network, Inc. (“CCN,” “we,” “us,” or “our”) is a 501(c)(3) nonprofit organization based in Pensacola, Florida. This policy explains what information we collect through our website, how we use it, who we share it with, and what choices you have.

We have tried to write this in plain language rather than legal boilerplate. If anything here is unclear, please ask us.

1. What this policy covers

This policy applies to communitychaplainnetwork.org and to any landing pages we operate on our own subdomains, such as our Clinical Pastoral Education and Chaplains Guild information pages.

It does not cover:

  • Third-party websites we link to, which have their own policies.
  • Our mobile application, if and when it is released, which has its own separate policy.
  • Conversations you have directly with a chaplain, in person or otherwise, outside of this website.

2. Information we collect

Information you give us

  • Contact and inquiry forms. Your name, email address, and anything you choose to write in a message. Some forms also ask which program or area of chaplaincy you are interested in.
  • Membership accounts. If you join the Chaplains Guild, we collect the information needed to create and maintain your account, including your name, email address, login credentials, membership level, and any profile details you add.
  • Applications. If you apply for Clinical Pastoral Education, your application is submitted through our accrediting affiliate’s admissions system rather than collected directly by this website. See Section 4.
  • Donations and payments. If you donate or pay for a membership, the payment itself is handled by a third-party processor. We receive confirmation of the transaction and the associated contact details. We do not receive or store your full card number.

Information collected automatically

  • Basic technical information such as your IP address, browser type, device type, the pages you visit, and the dates and times of your visits.
  • Cookies and similar technologies used to keep the site working, keep you logged in, and understand general usage patterns. See Section 7.

What we do not collect

We do not ask for, and you should not submit through this website, sensitive personal information such as health records, financial account details, or government identification numbers. If you need to share something sensitive with a chaplain, please contact us directly so we can arrange an appropriate way to do that.

3. How we use your information

We use the information we collect to:

  • Respond to your questions and requests;
  • Send you the information, resources, or materials you asked for;
  • Create and manage your Chaplains Guild membership;
  • Process donations and membership payments;
  • Send program updates, training announcements, and other communications you have signed up for, which you can stop at any time;
  • Improve our website and understand which content is useful;
  • Meet our legal and accounting obligations.

We do not sell your personal information, and we do not share it for advertising purposes.

4. Who we share information with

We share information only in these situations:

  • Service providers who operate the site on our behalf. This includes our website host, our customer relationship and email platform (GoHighLevel), our donation platform (Zeffy), our payment processor, and analytics tools. These providers may only use the information to perform services for us.
  • Our accrediting affiliate. Clinical Pastoral Education applications are submitted through Clinical Pastoral Education International’s admissions system, which is governed by their own privacy terms.
  • Chaplains and staff. If you request care, information, or a conversation, we share what is necessary with the appropriate person so they can respond to you.
  • Legal and safety reasons. If we are required to by law, or if we believe in good faith that disclosure is necessary to prevent harm to someone.
  • Organizational changes. If CCN merges with or transfers its operations to another organization, information may transfer as part of that, subject to this policy.
  • With your permission, for anything else.

5. The member directory

The Chaplains Guild maintains a directory so members can find and connect with one another. If you are a member, some of your information may be visible to other members in that directory. You control what appears in your profile, and you can ask us to remove you from the directory at any time without affecting the rest of your membership.

6. Email and how to stop it

If you sign up for information, join a mailing list, or become a member, we may send you program updates, training announcements, and related communications.

Every marketing email we send includes an unsubscribe link, and unsubscribing takes effect promptly. You can also reply to any email and ask us to remove you, or contact us using the details in Section 12.

If you are a member, we may still send you administrative messages about your account, renewal, or payments, because those are part of the service you have signed up for.

7. Cookies and analytics

Our website uses cookies to keep the site functioning, remember your preferences, and keep you signed in to member areas. We also use analytics tools to understand which pages are visited and how people move through the site. This is reported to us in aggregate and is not used to build advertising profiles.

You can block or delete cookies in your browser settings. Doing so may affect parts of the site, particularly the member area.

Some browsers send a “Do Not Track” signal. Our site does not currently respond to those signals.

8. How long we keep information

We keep your information for as long as it is needed for the purpose it was collected, or as long as required for legal, accounting, or reporting obligations. Inquiry and mailing list records are kept while they remain useful and are removed on request. Membership records are kept for the duration of your membership and a reasonable period afterward.

You can ask us to delete your information at any time. See Section 9.

9. Your rights and choices

You may ask us to:

  • Tell you what personal information we hold about you;
  • Correct information that is wrong or out of date;
  • Delete your personal information;
  • Stop sending you marketing communications;
  • Provide a copy of your information in a portable format;
  • Withdraw consent where our use is based on your consent.

To make a request, contact us using the details in Section 12. We may need to verify your identity before acting, and we will respond within the timeframe required by applicable law.

Residents of California, Virginia, Colorado, Connecticut, and other states with comprehensive privacy laws may have additional rights under those laws. We will not treat you differently or withhold services because you exercised a privacy right.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect the information we hold. No website or method of transmission is completely secure, however, and we cannot guarantee absolute security. If you have a member account, please keep your password confidential and let us know promptly if you believe it has been compromised.

11. Children

This website is intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with information, please contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. When we do, we will change the “last updated” date at the top of this page. If a change materially affects how we handle your information, we will make a reasonable effort to notify you. Continuing to use the website after a change takes effect means you accept the updated policy.

14. International visitors

We operate in the United States. If you visit from another country, your information will be processed in the United States, where privacy laws may differ from those where you live.
