The Chaplains Guild wants every member to feel confident joining, learning, and gathering with us. This policy explains how refunds and cancellations work for annual memberships, continuing-education and training programs, and our annual convention. If you ever have a question or a special circumstance, please reach out — we review requests in good faith and try to do right by our members.
Membership Dues
Membership in the Guild (Student, Practitioner, or Fellow) is billed as an annual fee.
If you request a refund within 14 days of your initial join date or an annual renewal, we will issue a full refund, provided you have not already made substantial use of member benefits during that period — for example, claiming continuing-education hours, using the ethics line, or joining a supervision session. After 14 days, membership dues are non-refundable, but you may cancel at any time to stop future renewals; your benefits continue through the end of your current paid year.
Memberships renew automatically each year. You may turn off automatic renewal at any time before your renewal date by contacting our office or updating your account. If a renewal charge occurs and you notify us within 14 days, we will refund it under the terms above.
Continuing Education, Courses & Training
This section covers CE-eligible webinars, seminars, courses, and any paid training the Guild offers directly. (Discounts on outside CPE and volunteer chaplain training are governed by the provider that runs those programs.)
For a paid course or training program, you may request a full refund up to 7 days before the program’s start date. Cancellations made within 7 days of the start date are eligible for a 50% refund or a credit toward a future program, at your choice. Once a program has begun, or once you have accessed the course materials or recordings, the fee is non-refundable. If the Guild cancels or reschedules a program, you may choose a full refund or a transfer to the rescheduled date or another program of equal value.
Annual Convention & Events
Convention and event registrations follow a tiered schedule based on when you cancel, measured from the event’s first day:
- 30 or more days before: full refund, less any non-recoverable third-party fees (for example, certain processing charges).
- 15 to 29 days before: 50% refund, or a full credit toward the following year’s convention.
- Fewer than 15 days before: non-refundable, but your registration is transferable — you may send another eligible member in your place, or apply the amount as a credit toward the next convention.
Registrations are transferable to another eligible member at any time at no charge; just let us know the substitute attendee’s name in advance. If the Guild cancels the convention or event, every registrant receives a full refund of the registration fee. The Guild is not responsible for travel, lodging, or other personal expenses.
How to Request a Refund
Email Info@CommunityChaplainNetwork.org or call (888) 685-5040 with your name, the payment in question, and the reason for your request. Approved refunds are issued to the original payment method within 7–10 business days. Processing times on your bank or card statement may vary.
Special Circumstances
We recognize that chaplains and pastors carry heavy and often unpredictable loads. If a medical emergency, deployment, bereavement, or other significant hardship affects your ability to participate, contact our office. We consider these requests case by case and will work with you on a fair resolution, which may include a credit, transfer, or exception to the timelines above.
